The Challenges of Data Analysis
Data analysis can be hard. Whenever my boss used to give me some data and ask me to analyze it and present the findings to him in a matter of hours or a few short days, I dreaded it. I had no clue where to start, what to do, and what to present…
If someone asks me to sort the data, filter it, or add it all up, I understand, and I can do it quickly. These are tangible things that can be easily achieved.
But when it comes to “analyzing data”, I was completely clueless. There used to be no magic formula that could quickly analyze the data in Excel. So I’d stare at the data, hoping to find some hidden insight that would emerge magically.
You see, one can spend 2 hours or 2 days or 2 months or even 2 years analyzing data, and still be looking for insights. There is no clear indication that the analysis is now complete.
How I Stumbled Upon the Data Analysis Techniques
Back in the early 90’s, there was no Internet, no Google, and really not much help was available. So I’d pour over the F1 Help within Microsoft Excel. I devoured the whole manual a couple times, searching for Data Analysis Techniques. There was no mention of data analysis anywhere… 🙁
But I began to find some formulas that could help me find the things I was looking for. So I experimented with them, and tried many features. With some trial and error, I began to get a hang of it.
I was wondering, Why doesn’t Microsoft have a section for “Data Analysis” within Excel?
Actually, Excel has hundreds of hidden features that are extremely helpful in everyday management decision making and data analysis, but they are not labelled as such.
After all, Microsoft is more of a software company that keeps adding features, but they don’t teach people how to use them, or how to use them effectively for data analysis.
It is up to us to figure out the how…
Microsoft Excel Comes To The Rescue
It is not difficult to learn how to analyze data with Microsoft Excel, once you learn a few tips and tricks, formulas, and hidden features of Excel well.
Actually, as I spent the time looking for insights, I experimented with several Excel features, and began to find amazing results that almost everyone overlooked, or simply didn’t notice.
As I began to find these insights and started to present them to the management, they started to notice. Soon I was consistently generating ideas based on solid data analysis, and not by just “gut feel”.
Others were amazed at how I was able to garner amazing insights from the same dataset that they had, but could not find anything interesting.
As I tried different methods, began to play with data & do all things data – cleanup, reporting, data visualization and began finding insights, I was amazed at how most people ignored the simplicity of Excel and were always looking for the tool that will analyze the data for them.
They did not look at Excel as a Data Analysis Tool. Instead, they went from Crystal Reports to Hyperion, to Informatica, to Business Objects, to SAP, SAS, QlikView, Tableau and Power BI type of “Business Intelligence” tools.
It's Not the Tool, but what you do with the tool that makes the difference.
Sadly, most companies do not have the budget for these expensive BI tools, or the time to learn the intricacies of bringing in the data, creating the “cube”, data model, and creating the reporting views.
As such, the adoption of such BI tools is pretty minimal, and a year later, they are sitting on a shelf. And most people are either looking for an new, simpler tool, or are back at using Microsoft Excel.
The management was impressed by my insights and asked me to teach others in my department. I was already doing it… I was also tasked to setup a Reporting practice within the company, and teach Data Analysis to all Executives and Managers within the company.
I enjoyed this job the most. I got all the time to find more and better ways to analyze data and loved to share the gems that I found with my colleagues.
Over the years, I rose in this Reporting role to become the Director of Business Intelligence, overseeing a team of over 250 professionals that I had personally groomed into being excellent data analysts that helped our company grow fastest with exponential growth due to its edge in data analytics and information science.
